York Energy Advice collects and uses your personal information to provide you with help and support, and to improve our services. It is a project by York Community Energy CBS Limited which is responsible for keeping your personal information safe and making sure we follow data protection law. This privacy notice sets out what data is collected, as well as how the data is used, who the data is shared with, how data security is ensured, and how to access your data or withdraw consent. We only ask for the information we need and always let you decide what you’re comfortable sharing with us. We will explain why we need it and treat it as confidential.

When we record and use your personal information we:

We handle and store your personal information in line with data protection law.

This website does not store cookies on your computer.

What information we collect about you

We collect information about you when:

  • You contact us, whether by phone, email, online or in person
  • You provide your information to us via self-referral, at events/stalls, through advice sessions, or through other means
  • Someone else refers you to us, but only if they have your consent to do so
  • You complete surveys or provide feedback

This information may include:

  • Your name
  • Your role and organisation (where relevant)
  • Contact details including email address, postal address and phone number
  • Information about your home, energy bills and wellbeing in the context of providing energy advice and support
  • Information about diversity, such as gender, race and disability

Your information is collected and processed on the basis of consent.

How we use your information and for how long

Information is used for the purpose of providing and promoting an advice and support service for energy-related issues to households in York. We keep financial information for seven years due to legal requirements, and we delete all other personal information from our database and customer relationship management system if we have had no contact with you for three years. We may, however, anonymise the data for future reference such as reporting to the funder.

Data sharing and security

Information or data on the support provided may be passed to other organisations or to our funders in an anonymised format. Your information will not be shared with any third parties without your explicit consent. However data may also be shared if it is deemed reasonably necessary to satisfy any applicable law, regulation, legal process (such as a subpoena or court order), or enforceable governmental request.

All data that we store and process will be done securely, using up-to-date software and tools. Access to all data will be password protected.
